Role Summary

The CRM and Data Systems Manager owns Law Firm Mentor’s CRM and data infrastructure internally, ensuring marketing, sales, and client-success teams have clean, reliable, actionable data — while also advising client law firms on building out their own CRM and intake/data systems as part of their growth roadmap.

This role sits at the intersection of marketing, technology, and operations, and is responsible for making sure data is trustworthy enough to make decisions on — internally and for the firms LFM advises.

Key Responsibilities

  • Own and administer LFM’s internal CRM platform(s), including configuration, data hygiene, automation, and integrations with other internal systems.
  • Build and maintain reporting and dashboards that give marketing, growth advisory, and leadership teams reliable visibility into pipeline, client engagement, and key metrics.
  • Serve as a client-facing advisor on CRM and data systems, helping client law firms select, configure, and adopt CRM and intake-tracking tools appropriate to their size and workflows.
  • Partner with the Law Firm Growth Executive Advisors to translate client data and CRM needs into practical, sequenced recommendations within each firm’s growth roadmap.
  • Establish and enforce data governance standards (data entry conventions, deduplication, access controls) internally, and recommend equivalent standards to client firms.
  • Collaborate with the VP of Marketing and Technology Director to ensure marketing attribution, lead routing, and reporting are accurate and aligned across systems.
  • Train internal staff and, where appropriate, client teams on effective CRM usage and data hygiene practices.
  • Troubleshoot CRM and data integration issues, working with vendors and internal technology staff as needed.
  • Identify opportunities to automate manual data and reporting processes, both internally and for client recommendations.

Qualifications

  • 4+ years of experience administering CRM platforms (e.g., HubSpot, Salesforce, or comparable systems) in a marketing, sales, or operations capacity.
  • Strong data analysis and reporting skills, with the ability to build dashboards that non-technical stakeholders can actually use.
  • Experience advising or supporting external clients on system selection and configuration, ideally in a B2B or professional services context.
  • Solid understanding of data governance, hygiene, and integration best practices.
  • Comfortable working cross-functionally with marketing, technology, and advisory teams.
  • Strong attention to detail and a systems-oriented, process-driven mindset.
  • Clear communicator, able to explain technical data concepts to non-technical audiences, including client executives.

Preferred / A Plus

  • Experience with CRM or intake systems specific to law firms or other professional services businesses.
  • Familiarity with marketing automation, attribution modeling, and lead-scoring methodologies.
  • Experience training end users or clients on new systems and driving adoption.
